You’re running a quarterly investor call. You created the Zoom meeting. Now you need that link in the calendar invite going to 50 LPs.

Without integration, that’s manual copy-paste. With integration, Gatsby pulls the meeting details directly.

This is a convenience integration. Manage meetings in one place instead of switching between Zoom and Gatsby. The join URL flows into your calendar invite. Your guests click one link.

Two options. Link an existing meeting you already created in Zoom, or create a new one directly from Gatsby.

How to Link an Existing Meeting

  1. Open your event in Gatsby.

  2. Go to Event Details.

  3. Find the Location section.

  4. Click Add virtual location.

  5. Select Link existing meeting.

  6. Choose your meeting from the dropdown, or paste the meeting details.

  7. Save.

How to Create a Meeting

  1. Open your event in Gatsby.

  2. Go to Event Details.

  3. Find the Location section.

  4. Click Add virtual location.

  5. Select Add Meeting.

  6. Gatsby creates the meeting using your event’s name, date, and time.

Gatsby attempts to match Zoom webinar attendees to your guest list by name and email address. When it works, attendance appears automatically. When it doesn’t match, you have options.

How Matching Works

Gatsby syncs attendance from Zoom 30 minutes after the webinar ends. It matches on name and/or email address.

Guests must join Zoom with the same email they used for their Gatsby invitation. If they join anonymously or with a different email, the match fails.

Export attendance from Zoom. Clean up the data. Import to Gatsby.

Not ideal, but it’s often necessary for larger webinars where attendees join from various devices and accounts.

Requirements for Attendance Sync

Attendance sync only works for webinars (not meetings) created from Gatsby or linked through the Link existing option.

Copy-pasted meeting URLs won’t sync. The integration needs the webinar ID to pull attendance data.

The team member linked in Gatsby must have a Zoom webinar license.

Connect once with admin-level permissions. After that, you can create and link meetings from any user on your Zoom account.

Why Admin Permissions

The person connecting must be a Zoom account admin. This grants Gatsby visibility into all users on the account.

Without admin access, you’ll only see your own meetings. Other team members won’t be able to link their meetings to events.

Setup Steps

  1. Go to Team Settings > Linked Services > Zoom.

  2. Click Add Account.

  3. Authenticate with your Zoom admin account.

  4. Authorize Gatsby to access Zoom.

  5. Return to Gatsby. Refresh if needed.

Do I need a webinar license?

Creating webinars (not just meetings) requires a webinar license in your Zoom account. Standard meetings work with any Zoom plan.

Why can't I see other users' meetings?

The Zoom account must be connected using admin-level permissions. If you connected with a standard user account, you’ll only see your own meetings.

Disconnect and reconnect with an admin account to see all users.

Why didn't attendance sync?

Three common causes:

  • The meeting was copy-pasted instead of linked. Only meetings linked through Gatsby sync attendance.
  • Attendees joined with different emails. They need to join Zoom with the same email used in Gatsby.
  • The meeting hasn’t ended yet. Attendance syncs after the meeting ends.

Can I use this for hybrid events?

Yes. Add both a physical location and a Zoom meeting to your event. Guests get both in their calendar invite.
